Legal Administrative Assistant F3 Advisory Vacancy

Position Summary

The Legal Administrative Assistant provides high-quality administrative and operational support to the Legal team. This role is responsible for coordinating legal documentation, maintaining corporate records, managing legal workflows, and supporting the administration of corporate governance activities. The successful candidate will demonstrate exceptional organizational skills, attention to detail, professionalism, and the ability to handle confidential information in a dynamic corporate environment.

Key Responsibilities

  • Provide comprehensive administrative support to the wider Legal team.
  • Prepare, format, proofread, and distribute legal documents, correspondence, reports, presentations, and meeting materials.
  • Maintain and organize electronic and physical legal files, ensuring documents are accurate, current, and easily accessible.
  • Assist with the preparation and administration of corporate governance documentation, including board and committee meeting packs, agendas, minutes, resolutions, and corporate records.
  • Coordinate the execution, signing, and filing of contracts, agreements, and other legal documents.
  • Maintain contract registers and legal databases, ensuring records are complete and up to date.
  • Monitor key legal deadlines, contract renewal dates, and compliance requirements, providing timely reminders to the legal team.
  • Liaise with internal business units, external legal counsel, regulators, government authorities, and service providers as required.
  • Assist with document management, due diligence activities, and transaction support for corporate projects, mergers and acquisitions, and commercial matters.
  • Support the implementation and maintenance of legal policies, procedures, and document management systems.
  • Maintain strict confidentiality when handling sensitive legal, commercial, and corporate information.

Qualifications

  • Minimum of 1-2 years’ experience in an administrative role.
  • Experience supporting an in-house legal department or corporate/commercial law practice is highly desirable.

  • Ability to work independently while contributing effectively within a collaborative legal team.
