F3Advisory Office Administrator

Purpose:

The Office Administrator is responsible for ensuring the efficient and smooth operation of the office environment. This position involves a combination of administrative, organizational, and communication skills to the teams and maintain a productive work atmosphere. The Office Administrator will handle a range of tasks to ensure the overall functionality of the office duties.

Key Responsibilities:

  1. Administrative Support:
    • Manage and coordinate daily office operations, including but not limited to, maintaining supplies, equipment, and facilities.
    • Draft, proofread, and format documents, presentations, and reports as needed.
    • Maintain and update company databases, records, and filing systems, both manual and computerized
  2. Communication:
    • Serve as a point of contact for internal staff, clients, vendors, and partners, ensuring effective communication and timely responses.
    • Distribute internal communications, announcements, and memos as required.
    • Assist in coordinating company events, meetings, and workshops.
  3. Data Entry and Record Keeping:
    • Input and update data accurately in various systems and databases.
    • Maintain and organize electronic and paper records, ensuring confidentiality and compliance.
  4. Miscellaneous Tasks:
    • Assist with special projects and tasks as assigned by management.
    • Collaborate with cross-functional teams to support company initiatives.

Requirements/Abilities:

  • Proven experience as an office administrator, office assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and collaboratively in a team environment.
  • Professional demeanor and strong interpersonal skills.
  • Discretion in handling confidential information.
  • Flexibility to adapt to changing priorities and demands.
