Scope of the Role:
The Project’s Office Administrator is an essential member of the Project’s team managing the Group’s property portfolio. The selected candidate must have strong communication and organizational skills as well as excellent attention to detail.
The Administrator will be responsible for day-to-day office and administrative works as well as assisting in project delivery planning, design process, and finishing works.
The Administrator needs to be proficient in Microsoft Office Programs as well as the appropriate design software such as ACAD and SketchUp to produce 2D and 3D drawings. The Administrator will assist hands-on in preparing layouts and finishing plans, and schematics designs for project estimating; assist in the preparation of bills of quantities, and integrate workflows into the design process.
The selected candidate is to assist the Project’s team in the shared responsibility for the managing of multiple projects at any given time and preparation of the respective progress reports.
The Administrator will be responsible for organizing, coordinating, and maintaining the Project’s Office filing system, including but not limited to drawing and database files, and archiving of all project-related files in accordance with record document/archive management systems and procedures.
The Administrator must maintain a positive and friendly company image by acting as the first line of contact with contractors and suppliers as well as with clients wishing to purchase or rent a property and also have excellent written and spoken Maltese and English. . The chosen candidate is expected to work in various working environments to perform his/her duties and responsibilities, maintain integrity and confidentiality in performing all duties and perform other duties as assigned.
