Overview
Scope of the Role:
Famalco, a dynamic and diversified group of companies is seeking to recruit a driven and detail-oriented Purchasing Officer to be responsible for selecting and purchasing quality products & services for a group of companies, as per raised requisitions. Your responsibilities will include processing purchase orders, communicating & negotiating with suppliers/service providers, tracking orders, maintaining & updating inventory, quality assurance, and liaising with the line manager. The Purchasing Officer will work within the newly created Purchasing Department.
Responsibilities:
- Research, select, and purchase quality products and services of indirect categories;
- Build relationships with suppliers and negotiate with them for the best pricing and commercial terms;
- Review and analyze procurement requirements and place orders, accordingly, using appropriate systems put in place;
- Process requisitions and update on the status of orders;
- Update & monitor inventory and ensure that stock levels are kept at appropriate levels;
- Process periodic stock takes, and counts, track records, and inform on any discrepancies;
- Analyze market trends and apply this knowledge to make insightful buying decisions;
- Assess the quality of goods/services received and escalate any discrepancies to suppliers and the line manager;
- Contact suppliers/service providers regarding material/services problems, such as delayed receipt & invoices, poor quality, wrong items, etc., and resolve issues;
- Maintains records and documentation pertaining to past activities, and order specifications and provides information to management as needed;
- Assess, and approve invoices and cross-check them its accordance with issued Purchase Orders and processing of payments;
- Works with Line Manager & Accounts Payable to ensure timely payment of conforming materials received, and return/rework of materials that are defective;
- Continues to drive innovative process improvements and efficiencies within the purchasing role;
- Frequent reporting to the line manager and any other ad-hoc tasks as requested.
Requirements:
- Bachelor’s Degree in supply chain management relevant or similar field;
- Relevant experience (2-3 Years) preferred, but not essential, if willing to learn and choose the supply chain path as a career;
- Excellent computer skills (Excel, Microsoft Word, PowerPoint);
- Knowledge/experience of usage of ERP Software/digital tools (ex. Shireburn SFM / SIMS, Smartsheet), preferable;
- Critical thinking and negotiation skills;
- Good communication skills, both written and verbal;
- Knowledge of English (a must), Maltese & any other 3rd language preferable;
- Able to demonstrate continuous improvement through purchasing processes;
- Ability to work to strict deadlines and under pressure.
